Athletics AssistantThe Athletics assistant supports the day-to-day operations of ISP's Athletics and After-School Activities programs. The position requires excellent organization, service mindset, bilingual communication, and the ability to work in a fast-paced, hands-on environment.Responsibilities: General tasks that including but are not limited to:
  • Assist planning, organizing, and attending athletics/ASA events (games, tournaments, expos, practices); set up/tear down venues; liaise with officials; scorekeep; manage on-site logistics; ensure first-aid/EAP readiness.
  • Assist with coordination of practice/game schedules and facility use with AD/AAD/ASA Coordinator, Sports Coordinators, coaches, and departments; book buses; ensure field/court readiness.
  • Share practice times, game schedules, and updates with coaches, student-athletes, parents, and staff; maintain shared calendars and bulletin posts; provide day-to-day, customer-service-oriented responses by phone/email.
  • Assist with maintaining accurate rosters, player info, attendance, registrations/fees; support in preparing/submitting rosters; updating platforms (Veracross, PikMyKid/PMK, SportsYou, Google Workspace).
  • Handle sizing/try-ons, orders, receiving/labeling, distribution, returns/exchanges; maintain inventory and orderly storerooms; track audits.
  • Assist with monitoring students on/off campus during school days, practices, and events; uphold ratios and sightlines; file incident reports as required.
  • Verify rosters, attendance, and dismissal plans (PMK); support supervise movement from cafeteria/meeting points to activities and to buses; be present at cafeteria, bus lot/car pick-up; coordinate with Transportation/Security; clear designated areas and manage lost & found.
  • Assist with the coordination of away-game/tournament logistics (hotel, flights, registrations, uniforms, local transport, security); assist with league/tournament ops and fundraising.
  • Assist external instructors with room access, materials, and logistics; welcome/escort visitors as needed.
  • Data entry, filing, document organization; prepare purchase requests, collect quotes, process invoices; charge/invoice league participation, uniforms, registrations, and trip costs; track payments with Athletics & ASA.
  • Activate weather/space alternates to avoid idle time.
  • Office management / receptionist functions for the office including managing calendars, answering phone calls and responding to messages with an outstanding customer service oriented approach.
  • Offer on-site escort assistance to visitors, ensuring they experience a warm welcome and guidance throughout their visit.
  • Other duties: Support continuous operation when AD/AAD/ASA Coordinator are off campus; follow additional instructions or tasks assigned from AD/AAD.

Qualifications:
  • College degree.
  • English & Spanish (spoken and written); excellent ability to communicate with families, staff, and vendors.
  • 1-2+ years in athletics/activities operations, school programs, or event coordination.
  • Proficiency in using computer software, including Google G-Suite.
  • Ability to lift/move up to 20-25 kg, set up equipment, and stand/walk for extended periods.
  • Experience in athletics administration, education or event coordination. Strong customer service, team player, time management, and problem-solving skills.
Schedule and Conditions:
  • Full-time. Monday-Friday, 8:30 a.m.-5:30 p.m. (aprox).; Saturdays, 8:00 a.m.-12:00 p.m. Flexibility required for occasional evenings and weekends for games/events.
  • Indoor/outdoor work in variable weather; local travel between venues; occasional trips with teams if assigned.
